Job Description:


This position is primarily responsible for providing administrative support to our nursing staff and patients as detailed below.


  • Provides excellent customer service in a fast-paced environment.
  • Handles telephone calls, takes accurate messages and routes them accordingly.
  • Maintains daily schedules for assigned nursing staff members.
  • Prepares and processes correspondence and emails/faxes.
  • Answers regular non-medical inquiries.
  • Drafts letters/faxes for assigned nursing staff.
  • Obtains, verifies, and updates patient information.
  • Provides support services to patients and assigned nursing staff.
  • Requests, locates, sends, and receives medical records.
  • Attends nursing meetings, takes and distributes minutes.
  • Maintains routine files and assists in establishing office systems & processes.
  • Must be able to type at a minimum speed of 45 WPM, meet computer and language requirements (detailed below), and remain calm and composed when a caller is distressed.
  • Must possess strong organizational skills, ability to multi-task, a desire to learn, a positive attitude, ability to think quickly, adapt well to change, punctual and dependable, and able to follow specific instructions/procedures.
  • Be available for other duties and responsibilities, not mentioned above, that provide support to our clients.


This job has no supervisory responsibilities.


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 


2+ years Administrative experience and 1 year of medical administrative assistance experience preferred (Medical Administrative Assistant Certification a plus), Customer Service Experience; Ability to work in fast paced environment with various departments; or equivalent combination of education and experience.


Strong communication skills, with an emphasis on telephonic and written correspondence. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 


Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.


To perform this job successfully, an individual should have knowledge of: Internet Software; Spreadsheet Software (Excel); Word Processing Software (Word); Electronic Mail Software (Outlook); Presentation software (PowerPoint). Possess general knowledge and capability of computer skills with focus on Microsoft Suite.
